Delivering a virtual event?  We’ll make it happen

We recognise that virtual events require a different approach to in-person events.

All too often, event teams who are accustomed to running in-person events are at a loss as to how to translate the experience into the online medium. It’s easy to underestimate what’s involved in creating a successful online event that runs smoothly and engages the audience.


Discovery

No two online events are alike. We work with you to document the objectives, success factors, and desired outcomes of your event, and discuss what’s possible so that we’re all on the same page. We use this information to map out the technology, timeline, and workflow required to deliver your vision. We’ll test everything from the outset to ensure that what will be required is practical and effective.

Preparation

We’ll help you organise any new technology that you might need to acquire and configure. We can train your event team on how to use the technology – even if we will be the ones in control during the event – so that you have a good understanding of what’s going on at all times, and are better positioned to host your own events in future. We can help you to schedule, handle RSVPs, and liaise with any external presenters so that they are comfortable with what will be required of them and prepared to participate.

Rehearsal and testing

It’s nearly go-time! In the days or weeks leading up to the event, we’ll work with all involved parties to run through the program and ensure that everything works, and everyone understands their role. We will also provide time for the attendees to join test event sessions prior to the event day to check their audio, video and bandwidth connections, to ensure the event day runs as smoothly as possible for all.

Hosting

Event day has arrived. We’ll be there early to get everything running. Our team can start and close the event, control what the participants see, cue each presenter or segment and their materials, open and close polls, chat, and Q&A – basically, we’ll be there to take care of the technology so that you can focus on the message.

Post-event wrap-up

Phew! When the event is over, our work is not complete. We’ll help you pull together any lessons learned for future events, as well as help you to access recordings, poll results, chat, and Q&A transcripts. We can also provide follow-up training to anyone who needs it, so that you can build your in-house capability.

Allied Health Assistant Day

On 16 November 2022, Monash Health hosted the sixth annual Allied Health Assistant Day. The purpose of the event was to deliver high quality professional development opportunities for Allied Health Assistants working in industry.
Taleka ran the event using Webex Events, Webinars, Slido and Webex Desk Devices.

The Hopkins Centre

The Hopkins Centre created the Hopkins In Focus Research Event Series to replace their annual bold ideas, better solutions symposium, which needed to take place virtually due to Covid restrictions.
The events were delivered using Cisco Webex and Vbrick with the newly released live closed captioning capabilities for the hearing impaired.

Falkirk Football Club

COVID-19 restrictions prohibited Falkirk FC from holding their Annual General Meeting as an in-person event. They needed a solution that would enable a virtual AGM.
Taleka worked with Falkirk FC to create an experience that would as closely replicate the traditional AGM as possible given the circumstances.
